Wedding Photography Studio Workflow: From Booking to Album (Step by Step)
In short: a reliable wedding studio workflow has seven stages — enquiry and quotation, booking and instalments, event planning, crew and gear allocation, shoot days, post-production, and delivery and closing. The studios that scale through peak season run all seven from one system instead of a diary, a WhatsApp group and three spreadsheets. Below is the workflow, with a worked example in DODO's wedding studio software.
The example studio below is illustrative, not a customer case study. Last updated September 2026.
The example: "Frame & Phera Studio", Jaipur
A six-person studio (owner, two photographers, one cinematographer, one editor, one manager) with a pool of eight freelance second shooters and a drone operator. In November they have 14 weddings. This one is the Sharma–Mehta wedding:
| Event | Date | Venue | Shift | Crew |
|---|---|---|---|---|
| Haldi | 12 Nov | Family home, Malviya Nagar | Day | 1 photographer, 1 candid |
| Mehendi | 12 Nov | Same | Night | 1 photographer, 1 cinematographer |
| Sangeet | 13 Nov | Hotel, Tonk Road | Night | 2 photographers, 1 cinematographer |
| Wedding | 14 Nov | Palace venue, Amer | Full day | 3 photographers, 2 cinematographers, drone |
| Reception | 15 Nov | Hotel, Tonk Road | Night | 2 photographers, 1 cinematographer |
Stage 1: Enquiry and quotation
Capture the dates and events at the enquiry, then send a quotation with line items per event and deliverable (candid photos, traditional photos, film, teaser, album). If you're GST-registered, add tax on each line.
In DODO: create the quotation with line items and a tax percentage per line, and track it as Draft, Sent, Approved, Declined or Expired.
Stage 2: Booking and instalments
Indian weddings are paid in parts. A common structure is a booking amount to lock the dates, a second payment before the first event and the balance on delivery. Write the due dates down on day one.
In DODO: create the wedding as a project and set its payment plan as instalments with specific dates. Each payment is recorded against the project by cash, bank transfer or UPI, with the transaction reference.
Stage 3: Plan every event as its own shoot
The biggest planning mistake is treating a wedding as one date. Each event has its own venue, shift, start time and crew.
In DODO: add each event as a shoot phase in the project — name, dates, location, shift (Day, Night or Full Day) and start time. All five phases appear on the studio calendar alongside the other 13 weddings, so a clash on 14 November shows up while you're still planning, not on the morning of the wedding.
Stage 4: Allocate crew and gear per event
Crew
Assign people per phase, not per wedding. The haldi needs two people; the wedding needs six plus a drone.
In DODO: select the team for each phase and set each freelancer's rate and number of days. Those amounts become the crew payments for this project, so month-end payouts come from what was scheduled — not from memory. More on this in crew payroll for production houses.
Gear
Book bodies, lenses, lights, gimbals and the drone per phase and shift. When two weddings overlap on the same night, you need to know you only own two 70-200s.
In DODO: book equipment against the phase; DODO checks existing bookings for overlapping shifts and shows the conflict before you confirm. If a freelancer takes studio gear for their own gig between your events, log it as a rental at a day rate — see renting studio equipment to freelancers.
Stage 5: Shoot days
The night before each event, everyone should know the venue, call time and kit. Keep a simple call sheet per event — our free call sheet template works well for weddings. After each event, log gear returns and note anything damaged.
In DODO: crew see their assignments and the calendar; returns are logged with the condition the gear came back in, so a lens marked Needs Repair doesn't go to the reception.
Stage 6: Post-production
A typical wedding post-production pipeline:
- Backup and cull
- Edit and colour (photos)
- Teaser
- Wedding film
- Album design
- Client review and corrections
- Final delivery and album print
In DODO: each wedding moves through a Kanban board with these stages, with an owner and deadline on every card. If album design or the film edit is outsourced, track the partner, job, rate and invoice in the editing-partners module.
Stage 7: Delivery and closing
Deliver files, collect the balance, pay the freelancers and check the numbers.
In DODO: the client sees progress and deliverables in the client portal. The project's P&L shows income against crew payments, equipment and travel, so you know whether a five-event wedding at this price actually made money — before you quote the next one.
Peak-season checklist
- Every wedding is split into events with their own dates, venues and shifts.
- No freelancer is booked for two venues on the same shift.
- No lens is booked to two weddings on the same shift.
- Instalment due dates are recorded for every wedding.
- Every wedding has an owner on the post-production board.
- Freelancer payouts are generated from the schedule.
Frequently asked questions
What is a wedding photography studio workflow?
It's the repeatable sequence a studio follows for every wedding: enquiry and quotation, booking and instalments, event planning, crew and gear allocation, shoot days, post-production and delivery.
How do wedding studios manage multiple events for one wedding?
The reliable way is to plan each event — haldi, mehendi, sangeet, wedding, reception — as its own shoot with its own date, venue, shift and crew. In DODO each event is a shoot phase inside one wedding project.
How should second shooters be paid?
Most Indian studios pay freelancers a day rate per event. Record the rate and days when you assign them, so the payout is generated from the schedule instead of reconstructed at month end.
What software do wedding photographers use in India?
Studios use a mix of photography CRMs, gallery tools and studio operations software. See our comparison of photography studio management software in India.
How long should wedding album delivery take?
It varies by studio and package, but setting a deadline per stage — cull, edit, film, album — and tracking it on a board is what keeps delivery predictable during peak season.
