Production house management software is a single system for running the business side of a production house โ€” planning shoots, scheduling crew and freelancers, booking equipment, paying people, quoting and invoicing clients, tracking post-production and delivering the final files. It replaces the spreadsheets, WhatsApp groups, calendars and notebooks most studios start with.

Who needs it?

Any business that sells shoots and edits to clients and runs them with a crew:

  • Video production houses โ€” ad films, corporate films, music videos, documentaries.
  • Wedding and event studios โ€” multi-event weddings with photo and film teams.
  • Photography studios โ€” portrait, product, fashion and commercial.
  • Creative and content agencies โ€” recurring content for many brands.

If you've ever sent the same camera to two shoots, paid a freelancer twice (or forgotten to pay them), or discovered a project lost money only after it was delivered, you're the target user. New to the term "production house"? Start with what a production house is and how it works.

Production house management software vs. other tools

Tool typeWhat it's forWhat it misses
Production house management softwareRunning shoots, crew, gear, money and delivery togetherDeep script breakdowns (use a pre-production tool if you need them)
Film pre-production toolsScripts, breakdowns, call sheets, stripboardsPayroll, invoicing, equipment, client billing
Project management tools (Trello, Asana, monday.com)Tasks and deadlinesShoot shifts, crew pay, gear, GST invoices
Accounting softwareBooks, GST returnsEverything that happens before the invoice
Manufacturing "production management" ERPsFactories, BOMs, inventoryNothing to do with media production

That last row matters in India: search for "production management software" and you'll mostly find factory ERPs. Media production needs a different tool.

The eight modules that matter

1. Projects and shoot scheduling

Each job should be one project, split into shoot days or phases with their own dates, location, shift (day, night or full day), start time and crew. A shared calendar should show every phase across every project so clashes are visible before you confirm.

2. Crew, freelancers and roles

Production houses run on freelancers. The software should give different access to owners, managers, staff, freelancers and clients, and keep documents such as Aadhaar and PAN on file.

3. Payroll and crew payments

Crew are paid in different ways โ€” monthly salaries, per-shift pay, per-day freelancer rates, overtime. Good software calculates this from the work that was actually scheduled, not from memory. Our guide to crew payroll for production houses covers the details.

4. Equipment management

One inventory for cameras, lenses, lights, drones and audio, with serial numbers and condition. Booking gear to a shoot should check for overlapping bookings. If you rent gear to your own freelancers, the software should invoice it. See studio equipment management.

5. Quotations, invoices and payments

Quotations with GST, instalment plans (booking amount, pre-shoot, balance), and payments recorded against the project by cash, bank transfer or UPI. Read GST invoicing for photographers and production houses for what an Indian invoice must contain.

6. Project profit and loss

Every project should show income against crew cost, equipment, travel and accommodation, so you know which kinds of jobs make money before you quote the next one.

7. Post-production tracking

A Kanban board with your own stages โ€” for example Assembly โ†’ Rough Cut โ†’ Colour โ†’ Sound โ†’ Delivery, or Cull โ†’ Edit โ†’ Album โ€” with an owner and a deadline on every card. If you outsource edits, track the editing partners and their invoices too.

8. Client portal

Clients should be able to check progress and pick up deliverables without messaging your team every day.

What does it cost in India?

OptionTypical costNotes
Spreadsheets + WhatsAppFreeCosts hours every week and scales badly
Generic project toolsUsually priced per user in US dollarsAdds up quickly with 15โ€“30 crew
International film toolsUS dollar plansStrong for pre-production, no Indian payroll or GST
DODOโ‚น2,500โ€“โ‚น3,000 per monthEvery module, unlimited users โ€” see pricing

Per-user pricing is the hidden cost to watch. A production house with 5 staff and 20 regular freelancers needs everyone on the system for it to work.

How to choose: a checklist

  • Does it understand shoot days and shifts, not just tasks?
  • Can freelancers log in with limited access?
  • Does it calculate crew pay from the schedule?
  • Does it stop double-booking equipment?
  • Does it handle GST and UPI payments?
  • Can you see profit per project?
  • Is the price in rupees and not per user?
  • Can you import your existing data (equipment lists, clients) from spreadsheets?

If a tool fails three or more of these, you'll end up running spreadsheets next to it.

Frequently asked questions

What is production house management software?

It is software that runs the business side of a production house in one place โ€” shoot scheduling, crew and freelancers, equipment, payroll, quotations and invoices, post-production and client delivery.

Is production management software the same as production house management software?

Not always. In India, "production management software" usually means manufacturing ERP for factories. Production house management software is built for media production: shoots, crew, cameras and client projects.

How much does production house management software cost in India?

DODO costs โ‚น2,500 to โ‚น3,000 per month with unlimited users. International tools are usually priced in US dollars and often per user.

Do small studios need production house management software?

A two- or three-person studio can manage with spreadsheets. Once you run more than about 15 shoots a month or regularly use freelancers, a dedicated system saves more time than it costs.

Can production house management software replace accounting software?

No. It handles quotations, invoices, payments and project P&L, but your accountant will still use accounting software for books and GST returns.
